4.1.Project details

Wingspread services can begin as early as helping to review and design the initial data extraction documents. In this phase recommendations are made to reduce overall cost and improve the reliability of the returned data. Regardless of when you contact WINGSPREAD, we perform a brief survey to enable accurate cost and reliable timeline guarantees to be developed. Our initial discussions will include:

	•	Are sample documents available for review?
	•	How is the project currently being accomplished?
	•	How will the physical documents or scanned images be sent to Wingspread?
	•	What type of clerical activities such as opening envelopes, removing staples, unfolding, sorting multiple forms and turning all documents in the same direction will be required?
	•	Is this a one time or ongoing project?
	•	Are volume estimates available?
	•	What fields of the document require data extraction and do any of these fields need to be both keyed and verified?
	•	What turnaround time is required?
	•	What should Wingspread do with the documents after processing?
	•	What file format and transmission method is preferred for the electronic file?

4.2.Proposal

- Project definition, Define mutual responsibilities, Pricing, Timing, and Financial justification or ROI

4.3.Pilot Project

The pilot project is crucial to a problem free transition to full production. In the pilot project phase:

	•	Customer and Wingspread will define expected outcomes in greater detail
	•	Customer will provide Wingspread with sample documents
	•	Customer will define any restrictions on an allowable field response
	•	Wingspread will design and document the processes to be used for this project.
	•	Wingspread will set up the data extraction and output software
	•	Wingspread will provide a test file for customer in the agreed upon format
	•	Customer and Wingspread will evaluate the results against expectations and make any necessary adjustments.

4.4.Production

Following the procedures used in the pilot project, the customer will begin sending documents to Wingspread. Depending on the project, full production can be immediately started or involve a ramp up period.

4.5.Review & Evaluation

As we learn more about your project, Wingspread will continue to make improvements. We will also look to the customer for feedback on our performance and review items on your "wish list".
